Accessing Personal Information

 

Description

The Data Protection Act 1998 gives all individuals the right to see and obtain a copy of any information that is held about them by others. This right applies to anyone about whom we hold information – current and former employees, residents, service users, suppliers, and contractors. If we hold their data we are required to provide it no matter who they are.

 

Personal information is defined as information and expressions of opinion, which relate to the tenancy and either alone or together with other information can identify the individual.

 

You are entitled to be told if any personal data is held about you AND, if so:

  • To be given a description of that data
  • To be told for what purposes the data are processed
  • To be told the recipients or the classes of recipients to whom the data may be disclosed

You are also entitled:

  • To be given a copy of the information with any unintelligible terms explained
  • To be given any information available to the controller about the course of the data
  • To be given an explanation as to how any automated decisions taken about you have been made

A request for a copy of information held about you is known as a “Subject Access Request”.

Anyone about whom we hold information – current and former employees, residents, service users, suppliers, and contractors.

How do I access the Service?

If you would like to see and/or obtain a copy of any personal information that is held about you by Housing Services, complete the Accessing Personal Information Application Form| and

return it to the Information Systems Team, Social Care & Housing Services, Torfaen County Borough Council, Floor 2, County Hall, Cwmbran, Torfaen. NP44 2WN

 

We make a charge of £10 for checking whether we hold the information you have requested. We will contact you about this when we have received your application form.

 

Upon receipt of your application form, we will use the information supplied by you to search our files and systems for data relating to you. Our findings will be sent to you, by recorded delivery, within 40 days of the receipt of your application form.
